01 About PatientHub
PatientHub is a digital clinic management platform developed by Chamaeleo Tech (Beirut, Lebanon). It is designed to help doctors, clinics, and medical staff manage patients, appointments, billing, prescriptions, dental charts, forms, staff access, and related administrative tasks.
PatientHub does not provide medical services, medical advice, diagnoses, or treatment recommendations. All medical decisions remain the sole responsibility of the licensed healthcare provider.
02 Eligibility
By using PatientHub, you confirm that:
- You are a licensed doctor, clinic administrator, medical secretary, or other authorized healthcare professional.
- All information you provide during registration and use is accurate, complete, and up to date.
- You are legally permitted to use clinic management software and handle patient data under the laws of your jurisdiction.
- You are at least 18 years of age.
03 User Accounts
- You are responsible for maintaining the confidentiality of your account credentials (username and password).
- You are responsible for all activities performed under your account, including actions taken by staff using your credentials.
- Sharing login credentials with unauthorized individuals is strictly prohibited.
- You must notify us immediately at support@chamaeleo.tech if you suspect any unauthorized access to your account.
- PatientHub reserves the right to suspend or terminate accounts that violate these Terms.
04 Platform Services
PatientHub provides the following features and services, subject to your subscription plan:
- Appointment Management: Create, schedule, and track patient appointments via a calendar view. View daily, weekly, and monthly schedules.
- Patient Management: Maintain complete patient profiles including medical history, contact details, form submissions, prescriptions, billing records, and dental charts.
- Billing & Invoicing: Generate invoices, track payment status, monitor revenue KPIs, and view financial performance reports per clinic.
- Dental Chart: Record per-tooth treatments, clinical notes, and treatment history using an interactive dental chart interface.
- Digital Prescriptions: Issue and manage digital prescriptions per patient, including medication, dosage, frequency, and prescribing doctor.
- Forms & Workflows: Build custom intake forms, questionnaires, and patient report templates. Collect patient responses before or during visits.
- WhatsApp Integration: Send automated appointment reminders, booking confirmations, and clinic notifications to patients via WhatsApp Business.
- Google Calendar Sync: Synchronize appointments with Google Calendar via OAuth authorization for individual users.
- Expense Tracking: Log and categorize clinic expenses and monitor financial performance alongside revenue.
- Multi-Clinic Management: Manage multiple clinic locations under a single account, with separate staff assignments, schedules, and billing per clinic.
- Staff & Role Management: Add and manage clinic staff (doctors, secretaries, administrators) with fine-grained, module-level permissions.
- Public Booking Page: Each doctor may have a shareable public booking link allowing patients to self-schedule appointments online.
- Clinic Directory: Clinics may publish a branded public directory page listing their doctors and enabling online booking.
- To-Do List: Manage daily tasks and reminders for clinic staff.
- Activity Tracking: Audit logs track significant user actions within the platform for security and accountability.
- PWA Support: PatientHub can be installed as a Progressive Web App on mobile and desktop devices for offline-capable access.
Features may be updated, modified, or discontinued at any time. We will provide notice of significant changes where reasonably possible.
05 Medical Disclaimer
- PatientHub does not provide medical advice, diagnosis, or treatment.
- All clinical decisions, prescriptions, dental treatments, and patient care decisions are the sole responsibility of the licensed healthcare provider using the platform.
- PatientHub is not responsible for any medical outcomes, treatment results, diagnostic errors, or clinical decisions made by users of the platform.
- Dental chart records, prescriptions, and form data are tools to assist clinicians — they do not constitute clinical guidance from PatientHub.
06 Patient Data & Privacy
- Users must handle patient data with the highest level of confidentiality, care, and compliance with applicable healthcare privacy laws.
- Users agree not to misuse, sell, disclose, or share patient data unlawfully or without appropriate patient consent.
- Dental chart records, prescriptions, billing data, and form submissions are private to the clinic and accessible only to authorized staff.
- PatientHub implements technical and organizational measures to protect patient data but the clinic remains the data controller and is responsible for compliance with applicable regulations.

07 WhatsApp Integration
- The WhatsApp integration allows clinics to send automated messages to patients via WhatsApp Business.
- By enabling WhatsApp integration, you confirm that you have obtained appropriate consent from patients to receive WhatsApp messages from your clinic.
- You agree not to use the WhatsApp integration to send spam, unsolicited messages, or content unrelated to patient care.
- PatientHub is not responsible for WhatsApp's availability, message delivery, or changes to WhatsApp's Business API terms.
08 Google Calendar Integration
- Google Calendar sync is an optional feature that requires explicit OAuth authorization by the user.
- By authorizing Google Calendar sync, you grant PatientHub permission to create, update, and delete appointment events in your connected Google Calendar.
- You may revoke this authorization at any time through your Google account settings or the PatientHub configuration panel.
- PatientHub is not responsible for Google Calendar's availability, data policies, or any changes to Google's OAuth terms.
09 Public Booking Pages & Directory
- When a doctor enables a public booking page, a shareable link is generated that allows any person to view the doctor's availability and submit a booking request.
- The doctor and clinic are responsible for the accuracy of information displayed on their public booking page, including working hours, clinic locations, and session fees.
- A booking submission does not constitute a guaranteed appointment until confirmed by the clinic.
- The clinic directory page, when enabled, publicly displays clinic and doctor information. Clinics are responsible for keeping this information accurate and up to date.
10 User Obligations
All users of PatientHub agree not to:
- Enter false, misleading, or fabricated patient or clinic information.
- Violate patient privacy, confidentiality, or data protection obligations.
- Attempt to hack, reverse-engineer, disrupt, or misuse the platform or its infrastructure.
- Use the platform for illegal, fraudulent, or unauthorized purposes.
- Share access credentials or grant unauthorized parties access to clinic data.
- Use the platform to send unsolicited communications or spam via WhatsApp or any other channel.
- Attempt to circumvent role-based access controls or audit logging mechanisms.
11 Subscription, Payments & Fees
- Access to PatientHub requires an active subscription. Subscription plans and pricing are clearly communicated on our website and may vary by plan.
- Subscriptions are billed on a monthly basis unless otherwise agreed. Prices are quoted in USD.
- Extra staff seats beyond the plan limit are available at an additional per-user monthly fee (as specified in the plan description).
- Prices and billing terms may be updated with 30 days' prior notice to active subscribers.
- We do not guarantee refunds for partial billing periods unless required by applicable law.
- A 14-day free trial may be offered for new subscriptions. Trial conditions will be clearly communicated at sign-up.
12 Intellectual Property
All content, branding, logos, design, platform features, source code, and system architecture are the intellectual property of Chamaeleo Tech and PatientHub.
You may not copy, reproduce, distribute, modify, reverse-engineer, or resell any part of the platform without prior written permission from Chamaeleo Tech.
Patient data and clinic content entered into the platform remains the property of the respective clinic and patients.
13 Service Availability
- PatientHub strives for high availability and minimal downtime.
- Planned maintenance will be communicated in advance where possible.
- We are not liable for service interruptions caused by events outside our control, including third-party outages (WhatsApp, Google, cloud infrastructure), internet connectivity issues, or force majeure events.
14 Limitation of Liability
To the maximum extent permitted by applicable law, PatientHub and Chamaeleo Tech shall not be liable for:
- Loss of patient data caused by user error, misuse, or unauthorized access.
- Medical decisions, clinical outcomes, or patient care results.
- Indirect, incidental, special, or consequential damages arising from use or inability to use the platform.
- Failures or unavailability of third-party integrations (WhatsApp, Google Calendar, etc.).
Use of the platform is at your own risk. Our total liability shall not exceed the amount paid by you for the service in the three months preceding the event giving rise to the claim.
15 Account Termination
PatientHub may suspend or terminate your account if:
- These Terms & Conditions are violated.
- The platform is misused or used for illegal activity.
- Payment obligations are not met after reasonable notice.
- Continued use poses a risk to the security or integrity of the platform or other users' data.
You may request account termination at any time by contacting us. Upon termination, you remain responsible for any outstanding fees, and data may be retained for a limited period as required by law.
16 Changes to These Terms
We may update these Terms & Conditions at any time. Significant changes will be communicated to active users via email or an in-app notice with at least 14 days' prior notice. Continued use of PatientHub after the effective date of any changes constitutes acceptance of the revised terms.
17 Governing Law
These Terms & Conditions are governed by the laws of the Republic of Lebanon. Any dispute arising from these terms shall be subject to the exclusive jurisdiction of the competent courts of Beirut, Lebanon.
